Acceptable Use Policy
1. Purpose and Scope
This Acceptable Use Policy ("AUP") defines the rules governing how you may use the LogNvoice Platform, including the mobile application, web interface, and all associated services. This AUP applies to all users regardless of role — Providers, Payees, and Hybrid users.
This AUP is incorporated into and forms part of the LogNvoice Terms of Service. Capitalized terms used but not defined here have the meanings given in the Terms of Service.
Violating this AUP may result in suspension or permanent termination of your account, referral to relevant authorities, and civil or criminal liability.
2. Permitted Uses
The Platform may be used only for:
- Creating, sending, and managing legitimate business invoices, estimates, quotes, receipts, and credit memos;
- Collecting payments from clients in exchange for genuine goods or services;
- Managing your client list and business profile;
- Receiving, reviewing, and paying documents sent to you by a Provider;
- Communicating with clients about document status through the Platform's built-in delivery features.
Payee accounts are free of charge and require no subscription. A Payee account is activated when a Provider sends a document to your email address — Payees do not self-register independently but are invited through a Provider's document delivery. Once activated, Payees may create a profile to view, accept, decline, and pay documents they receive.
The Platform is designed for lawful commercial business activity only.
3. Prohibited Document and Business Conduct
You may not use the Platform to create or send documents that:
- Are fraudulent or fictitious. This includes invoicing for goods or services not rendered, inflating quantities or prices, fabricating client names or businesses, or creating documents intended to deceive any person.
- Constitute money laundering. You may not use the Platform to conceal, convert, or transfer proceeds from illegal activities, or to create a false paper trail for financial transactions.
- Facilitate tax evasion. You may not create documents designed to underreport income, overstate expenses, or otherwise evade tax obligations.
- Involve illegal goods or services. You may not invoice for goods or services that are unlawful under any applicable jurisdiction — including but not limited to controlled substances, weapons, counterfeit goods, or prohibited financial services.
- Violate consumer protection laws. Invoices must accurately reflect the agreed terms of your transaction with your client.
- Contain false or misleading business information. Your business name, logo, signature, and contact details must be genuine and legally authorized for your use.
4. Prohibited Payment Conduct
You may not:
- Abuse chargeback or dispute processes with payment processors (Stripe, PayPal, or Venmo) in bad faith;
- Falsely record a payment as received when no payment was made;
- Use the Platform to process payments for businesses or transactions you are not authorized to conduct;
- Use the Platform to process payments in jurisdictions where doing so is prohibited;
- Attempt to circumvent or interfere with payment processor security controls or fraud detection systems.
5. Prohibited Account Conduct
You may not:
- Create multiple accounts to circumvent account restrictions, obtain additional free trial periods, or otherwise abuse features limited to a single account. Each individual user is permitted one active account.
- Share your account credentials with any other person. Each user must have their own account.
- Impersonate any person or entity, or misrepresent your affiliation with any person or entity.
- Scrape, crawl, or use automated tools to extract data from the Platform without prior written authorization from LogNvoice.
- Attempt to gain unauthorized access to any part of the Platform, other users' accounts, or LogNvoice's backend systems.
- Probe, scan, or test the vulnerability of the Platform or any related system without authorization.
6. Content Standards
All content you upload or submit — including logos, signatures, profile photos, document line items, business names, and terms text — must:
- Be content you own or are legally authorized to use;
- Not infringe any copyright, trademark, or other intellectual property rights;
- Not be sexually explicit, violent, harassing, or otherwise objectionable;
- Not include the personal data of third parties without appropriate authorization;
- Accurately represent your business and the transactions described.
7. Platform Integrity
You may not:
- Reverse engineer, decompile, or disassemble any part of the Platform;
- Modify, adapt, or create derivative works of the Platform;
- Remove or obscure any proprietary notices, branding, or labels on the Platform;
- Circumvent subscription requirements by exploiting bugs, undocumented API endpoints, or other technical means;
- Interfere with or disrupt the integrity or performance of the Platform or its underlying infrastructure;
- Use the Platform in any manner that could damage, disable, overburden, or impair our servers or networks.
8. Consequences of Violations
LogNvoice takes violations of this AUP seriously. Depending on the nature and severity of a violation, we may take any of the following actions:
- Warning — a notice that a violation has been detected, with instruction to correct the conduct.
- Feature Restriction — temporary limitation of specific Platform capabilities.
- Account Suspension — temporary suspension of your account pending investigation or remediation.
- Account Termination — permanent removal of your account and all associated data, without refund of any subscription fees.
- Referral to Authorities — where we reasonably believe illegal activity has occurred, we may refer the conduct and associated data to relevant law enforcement or regulatory authorities.
- Legal Action — LogNvoice reserves the right to seek civil or criminal remedies for violations that cause harm to our Platform, users, or third parties.
We will use reasonable judgment in determining the appropriate response based on the circumstances. We are not obligated to provide a warning before suspension or termination in cases of serious or repeated violations.
9. Reporting Violations
If you become aware of any use of the Platform that violates this AUP — including fraudulent invoicing, money laundering activity, impersonation, or other prohibited conduct — please report it to us at support@lognvoice.com with subject line "AUP Violation Report." Please include as much detail as possible (document ID, user information if known, description of the conduct). All reports are treated confidentially.
10. Changes to This Policy
We may update this AUP from time to time to address new risks, expand on prohibited conduct, or reflect changes to the Platform. For material changes, we will provide at least 30 days' notice via email or in-app notification. Your continued use of the Platform after the effective date constitutes acceptance of the updated AUP.
